What they wanted
Node4 weren’t just looking for a standard conference, they wanted something that felt like an experience. A day that looked great, ran smoothly, and gave their guests a real “this is impressive” feeling from start to finish.
There were quite a few layers to it too: a full conference setup , exhibitor spaces, lots of tech and AV and then a big evening event to bring everything together.
What we did
The event took over the East Midlands Conference Centre completely, with exclusive access across both the conference centre and hotel. That gave the team a blank canvas to work with and they made the most of it.
The daytime sessions used a mix of spaces, from the conference theatre to syndicate rooms, keeping things flexible and easy to move through. Meanwhile, a large marquee was built just for the event, ready to host the evening’s gala dinner.
And that evening? Definitely a standout moment, great food, a band, a magician, and plenty of energy. A real shift in atmosphere from daytime conference to relaxed celebration.
Food played a big role throughout the whole event too from steady refreshments during the day to dinner service and (very importantly) a lot of pizza to keep everyone fuelled.
Making it all run smoothly
Behind the scenes, there was a lot going on.
With 300 people moving between spaces, timing and communication were everything. The team worked closely across operations, AV and external suppliers to keep everything aligned and running on schedule.
A few things that really helped:
- A quick, organised group check-in so arrivals felt easy
- Car parking marshals to handle peak times
- Careful planning around dietary requirements (a big one for this event)
- Enough staff in the right places to keep things flowing
It’s the kind of event where if everything feels effortless that’s when you know it’s working.
